About the Role
We’re looking for a dynamic, highly organised and proactive Customer Service & Studio Assistant to join our growing team at Gigi & Olive. This is a varied and collaborative role, ideal for someone who enjoys being at the heart of a small, creative business and takes pride in keeping things running smoothly. You’ll play a key role across customer experience, personalised orders, studio operations and website management. Working closely with our Operations Manager, you’ll help ensure that orders, stock, systems and online content are accurate, organised and up to date at all times.
Key Responsibilities
Customer Service and Order Management
• Respond to customer enquiries via email and live chat in the Gigi & Olive tone of voice
• Deliver exceptional service to brides, planners and VIP clients
• Manage personalised orders including coordinating proofs and timelines
• Resolve order issues, refunds and replacements efficiently and empathetically
• Proactively monitor orders to prevent delays or errors
Studio and Operational Support
• Support the day-to-day running and organisation of the studio
• Coordinate couriers, collections and deliveries
• Assist with bulk orders, launches, activations and community events
• Support stock management including regular checks, reporting and reordering support
• Manage samples, press loans and influencer gifting logistics
Website, Product and Ecommerce Support
• Maintain and update product listings on Shopify
• Upload new products, collections and content in line with launches
• Ensure pricing, imagery, descriptions and availability are accurate
• Support basic site improvements and merchandising updates
B2B and Collaboration Support (Light Touch)
• Support Ashleigh with administration for B2B and collaboration orders when needed
• Assist with quotes, artwork proofs and documentation on larger projects
Who We’re Looking For
• Minimum of +2 years experience in customer service, ecommerce, retail or studio roles
• Confident communicator with excellent written English
• Highly organised, calm under pressure and reliable
• Strong attention to detail and pride in accuracy
• Comfortable using Shopify, Google Sheets and Canva or quick to learn
• Proactive, solutions driven and hands-on
